Email Security and Anti-Spam solutions

Protecting your inbox from unwanted mail.

Unwanted emails come in many different categories from unsolicited newsletters to fraud attempts. It’s the digital version of junk mail, and unfortunately it is difficult to stop someone sending you them. However they can be stopped from reaching your inbox.

A spam filter will look at incoming emails and try to determine if they are junk or unsafe and block them. In most cases unsure spam will still be delivered but to your junk folder, so you can retrieve them if needed. More severe emails, like known viruses, will be deleted.

Most email providers will offer some basic protection against email threats, but this may not be enough.

We offer a variety of solutions to prevent spam. For Microsoft 365 users we would recommend  Defender for Office 365 (click here for details) but we offer other solutions for different email providers, contact us for more details.

Don’t be spoofed

But it’s not just about preventing spam coming in, you need to protect your organisation’s good name from becoming a victim of unknowingly sending spam and phishing emails.

By having our DNS management (click here for details) we will ensure your DNS records are setup to prevent your organisation’s email addresses from being authenticated by spammers. If they try to spoof you these records will inform the recipients provider it’s not from you and likely junk it.

Send wisely

Spam filters work on a lot of factors, one of which is the reputation score of the sender. Equally, emails you send are scored. If you send a lot of unsolicited emails your reputation will drop and your emails will start finding their way in to peoples junk folders.

That’s way it’s important to send emails wisely. If you send newsletters, promotions or information out in bulk only send to people whom have opted in for them and use a dedicated bulk email service like mailchimp. It is not only important to comply with the general etiquette of the internet but also to comply with data protection laws.

  • What's spoofing?

Spoofing is a technique used by spammers to pretend they are someone else, someone you may trust. Be vigilant, always double check the senders email address. Spoofed email addresses may be spelt differently, contain numbers as letters or been sent from someone's compromised account.

  • What are phishing emails?

They request information from you, normally security details, like passwords. This can then be used to gain access to your account to send other phishing emails to your contacts.

  • Why do my emails go in to peoples junk folders?

It could be down to the reputation for your email address, domain or your email provider. Also you might not have currently configured DNS records. We can try to help you with this and advise what action you may need to take.

  • What is spam awareness training?

Spam awareness training is something we can offer your staff. Either by a general guide, one to one training or by sending them test fake phishing emails.
